We collect only the information needed to provide HelpTooly, respond to requests, operate customer chatbots, and protect the service. We do not sell personal information.

1. Who this policy applies to

This policy applies to HelpTooly's website, client workspace, contact forms, and chatbot services. When a business installs a HelpTooly chatbot on its own website, that business controls how it uses visitor information and HelpTooly processes that information to provide the service. The business's own privacy policy may also apply.

2. Information we collect

Information you provide

  • Account information, such as your first and last name, business name, email address, and authentication details.
  • Contact and lead information, such as your name, email address, phone number, requested service, preferred contact method, message, and consent choice.
  • Chatbot messages and information voluntarily included in a conversation.
  • Business configuration, knowledge documents, chatbot settings, and support requests supplied by clients.

Information collected automatically

  • Random visitor and conversation identifiers used to keep chatbot sessions organized.
  • Authentication cookies and local storage needed to keep users signed in and operate conversations.
  • Basic technical and security information that may be recorded by our hosting and infrastructure providers, such as IP address, browser type, request time, and error logs.

3. How we use information

  • Provide, maintain, secure, and improve HelpTooly.
  • Generate chatbot responses using the business information approved by a HelpTooly client.
  • Create and organize leads, conversations, and human follow-up requests.
  • Authenticate users, verify email addresses, manage client access, and prevent unauthorized use.
  • Respond to contact, billing, technical-support, and partnership inquiries.
  • Detect abuse, troubleshoot errors, enforce our terms, and meet legal obligations.

4. Artificial intelligence

Chat messages may be sent to the AI provider configured for HelpTooly so that a response can be generated. AI responses can be inaccurate. Do not submit passwords, payment-card details, government identifiers, health records, or other sensitive information through a chatbot. A client may review conversations associated with its own chatbot for customer service and follow-up.

5. How information is shared

We may share information with service providers that help us deliver HelpTooly, including cloud hosting, database and authentication, AI processing, and transactional email providers. They receive information only as needed to perform services for us. We may also disclose information when required by law, to protect rights or safety, or as part of a business transaction subject to appropriate safeguards.

We do not sell or rent personal information and do not use chatbot conversations for third-party advertising.

6. Storage, international processing, and retention

Our service providers may process information in Canada, the United States, or other countries where they operate. Information may therefore be subject to the laws of those locations. We retain information only for as long as reasonably necessary to provide the service, support clients, resolve disputes, meet legal obligations, and maintain security. Retention periods can vary by record type and client instructions.

7. Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, tenant-scoped client access, encrypted HTTPS connections, protected authentication, and restricted server credentials. No online service can guarantee absolute security, so users should avoid submitting unnecessary sensitive information.

8. Your choices and rights

Depending on where you live, you may have rights to request access to, correction of, or deletion of your personal information, to withdraw consent where applicable, or to ask how information has been used or disclosed. We may need to verify your identity before completing a request.

If your request concerns a chatbot on another business's website, contact that business first because it controls the customer relationship and its chatbot records. You may also contact HelpTooly for assistance.

9. Children's privacy

HelpTooly is designed for businesses and is not directed to children. We do not knowingly ask children to create client accounts. If you believe a child has provided personal information improperly, contact us so we can review the request.

10. Changes to this policy

We may update this policy as HelpTooly changes. We will post the revised version on this page and update the effective date. Material changes may also be communicated through the service or by email when appropriate.
